Privacy Policy
Scale Selling (“Scale Selling”, “we”, “us”, or “our”) is a digital marketing agency and software provider operated by WILLIAMS BUSINESS TECHNOLOGIES Inc., headquartered at 4145 N Service Rd, Burlington, ON L7L 6A3, Canada.
This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit scaleselling.com and its subdomains (the “Site”), contact us, purchase our products, or use our services, including the Scale Selling CRM and client portal (together, the “Services”). It should be read together with our Terms of Service and Refund Policy.

1. Scope of this policy
This policy applies to personal information we collect through the Site, our web forms, email, phone, text messaging, the Help Center chat assistant, and in the course of providing our marketing and software Services. “Personal information” means information about an identifiable individual.
When we process personal information on behalf of a client (for example, a client’s customer list stored in their CRM account, or leads generated by a campaign we run for a client), the client controls that information and is responsible for its own privacy practices. We handle that information under our agreement with the client, and this policy does not govern the client’s practices.
2. Information we collect
Information you provide to us directly:
Contact and inquiry details: your name, email address, phone number, company name, website, subject line, and the content of your message when you fill out a form, book a call, request a quote, proposal, or website audit, or respond to a survey.
Account and billing information: when you start a CRM trial or subscription, purchase from our shop, or engage our agency services, we collect your name, business details, billing address, and payment details. Payment card numbers are collected and processed by our payment processor; we do not store full card numbers on our own systems.
Career applications: your résumé, work history, and any other details you choose to share when you apply for a role.
Communications: records of emails, calls, text messages, and chat conversations with us, including messages you type into the Help Center assistant.
Testimonials, reviews, and case-study details you agree to provide.
Information collected automatically when you use the Site:
Technical data such as your IP address, browser type and version, device type, operating system, language settings, and the general location derived from your IP address.
Usage data such as the pages you view, links you click, time spent on pages, the page that referred you to the Site, the page you landed on, and campaign tags (UTM parameters) attached to the link you used to reach us.
Information gathered through cookies and similar technologies, described in section 7.
Information from other sources:
Publicly available business information (such as your website, social profiles, or business listings) when you ask us to prepare a proposal or audit.
Information from platforms you connect to our Services, such as advertising, analytics, or social media accounts, to the extent you authorize the connection.
Information our clients provide when they engage us to market to their customers or prospects.
3. How we use personal information
We use personal information to:
Respond to your inquiries and requests, including scheduling calls and preparing proposals, quotes, and audits.
Provide, operate, bill for, and support our Services, including the Scale Selling CRM and client portal.
Deliver products you purchase from our shop.
Send service and transactional messages such as confirmations, invoices, appointment reminders, and security or support notices.
With your consent, or as otherwise permitted by law, send marketing communications about our services, events, and offers by email, phone, or text message. You can withdraw your consent at any time (see section 8).
Measure and improve the Site and Services, including analyzing traffic sources and the performance of our own marketing campaigns.
Review and process job applications.
Detect, prevent, and investigate fraud, abuse, security incidents, and violations of our Terms of Service.
Comply with legal obligations, enforce our agreements, and protect our rights and the rights of others.
We do not sell personal information.
4. Consent
We collect, use, and disclose personal information with your consent, except where the law permits or requires otherwise, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. Consent may be express (for example, when you check a box or submit a form) or implied (for example, when you provide your contact details so that we can respond to you). When we send commercial electronic messages, we do so in compliance with Canada’s Anti-Spam Legislation (CASL).
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in section 15. If you withdraw consent, we may be unable to provide certain Services to you.
5. How we share personal information
We share personal information only in the following circumstances:
Service providers: companies that help us operate our business, such as web hosting and database providers, CRM and marketing-automation platforms, email and text-message delivery services, payment processors, scheduling tools, analytics providers, artificial-intelligence providers that power our Help Center assistant, and professional advisers. We require these providers to protect personal information and to use it only to perform services for us.
Business transfers: if we are involved in a merger, acquisition, financing, or sale of all or part of our business, personal information may be transferred as part of that transaction, subject to this policy.
Legal and safety reasons: to comply with applicable law, regulation, legal process, or lawful government request; to enforce our agreements; or to protect the rights, property, or safety of Scale Selling, our clients, or others.
At your direction or with your consent: for example, when you ask us to connect an advertising account, publish a testimonial, or share information with a partner.
Mobile phone numbers and text-messaging opt-in consent collected for SMS purposes are never shared with or sold to third parties or affiliates for their marketing or promotional purposes.
6. Where information is stored and international transfers
Scale Selling is based in Ontario, Canada. Our servers and service providers may be located in Canada, the United States, and other countries. When personal information is stored or processed outside Canada, it is subject to the laws of that jurisdiction and may be accessible to courts, law enforcement, and government authorities there. We use contractual and other measures to ensure that our service providers protect personal information to a standard comparable to the one described in this policy.
7. Cookies and similar technologies
We and our service providers may use cookies, pixels, local storage, and similar technologies on the Site. These technologies fall into the following categories:
Strictly necessary: required for the Site to function, remember your preferences, and keep the Site secure.
Analytics and performance: help us understand how visitors find and use the Site so that we can improve it.
Advertising and measurement: when we run advertising campaigns for Scale Selling, we may use tags or pixels from advertising platforms (for example, Google, Meta, or LinkedIn) to measure the effectiveness of those campaigns and to show you relevant advertising about Scale Selling on other websites.
You can manage cookies through your browser settings, including blocking or deleting them. Disabling cookies may affect how the Site works for you. Our Site does not currently respond to “Do Not Track” browser signals.
8. Marketing communications and text messaging
Email: every marketing email we send includes an unsubscribe link. You can also ask us to stop sending marketing emails at any time by contacting us. We will continue to send transactional and service messages that are necessary to provide the Services you use.
Text messages (SMS): if you provide your mobile number and opt in to receive text messages from Scale Selling, you may receive messages about your inquiry, appointments, and account and, where you have consented, about offers and promotions. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop receiving text messages from us; you will receive one final message confirming your opt-out and no further texts unless you opt in again. Reply HELP for assistance. After you opt out, we may still contact you about your existing appointments, orders, or account by email or phone.
Phone: if you have given us your number, we may call you about your inquiry or the Services. You may ask us not to call you for marketing purposes at any time.
9. How long we keep personal information
We keep personal information for as long as necessary to fulfil the purposes described in this policy, to comply with our legal, accounting, and reporting obligations, to resolve disputes, and to enforce our agreements. Inquiry and lead records are retained while we have an ongoing relationship with you or a legitimate business need to keep them. When personal information is no longer needed, we delete it or anonymize it so that it can no longer be associated with you.
10. How we protect personal information
We maintain physical, organizational, and technological safeguards that are appropriate to the sensitivity of the information we hold, including encryption of data in transit, access controls, and limiting access to personal information to team members and service providers who need it to do their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
11. Your rights and choices
Subject to applicable law, you have the right to access the personal information we hold about you, to ask us to correct it if it is inaccurate or incomplete, to withdraw your consent, and to ask questions or make a complaint about our privacy practices. To exercise these rights, contact our Privacy Officer using the details in section 15. We may need to verify your identity before responding, and we will respond within the time frames required by law.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the privacy regulator in your province. If you are located outside Canada, you may have additional rights under the laws of your jurisdiction, such as the right to request deletion of your personal information, and we will honour those rights as required by applicable law.
12. Children’s privacy
The Site and Services are intended for businesses and adults and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
13. Third-party websites and services
The Site contains links to third-party websites and services, including social media platforms, scheduling tools, and payment pages. Those websites and services have their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy policy of any third-party website or service you visit.
14. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in the law. When we do, we will post the updated policy on this page and revise the “Last updated” date at the top. If the changes are significant, we may also notify you by email or through a notice on the Site. Your continued use of the Site or Services after an update means that you accept the revised policy.
